1. Scope
Let’s Go Camping is a private-beta camping planning app operated by Club West Creative LLC (“Club West,” “we,” or “us”). This policy applies to the mobile app and this website.
The beta is designed to suggest realistic camping opportunities. It is not a campground reservation system and it does not represent that a campsite is currently available.
2. Information the beta handles
Depending on what you use, the beta may handle:
- Account information: your email address, first name and last initial, and account identifiers used for email-code sign-in.
- Planning information: an approximate origin you provide, drive-time limits, trip dates, camping preferences, weather preferences, saved opportunities, proposed trips, and group responses. A crew organizer may also enter a friend’s display name, approximate city or ZIP code, and estimated drive limit to compare possible meeting places before sending an invitation.
- Availability information: normalized busy windows derived from a connected calendar and Busy or Available periods you enter manually.
- Device and delivery information: device type, operating-system and app versions, notification permission state, and push-notification tokens.
- Product and diagnostic information: app interactions, performance information, and error diagnostics used to understand the beta and fix failures.
- Support information: messages and attachments you choose to send to support.
The beta is designed to plan from the origin you provide. It does not need continuous background location tracking to rank trips.
An organizer-entered friend location does not create an account, send an invitation, or claim that the friend confirmed it. It is labeled as an estimate and is available only to the crew’s owner and organizers. The friend’s availability remains unconfirmed until they answer an invitation.
If you tap “Choose from contacts” while preparing an invitation, the operating system lets you select one person. The app uses that selected phone number or email address only to prefill your Messages or Mail composer. It does not upload or store your address book, and nothing is sent until you approve it in the composer.
3. Calendar privacy
If you connect a supported calendar, the app uses calendar access to determine when time is already occupied. Its data model is designed to persist normalized busy time windows—not calendar event titles, descriptions, attendee lists, locations, notes, or other event content.
Connection credentials or tokens needed to maintain a calendar connection may be handled by the app and its infrastructure providers. On-device calendar permission is also controlled through your operating-system settings.
Manual Busy periods always block a proposed trip. A manual Available period can override a calendar conflict only after you explicitly confirm the date range.
4. How information is used
We use the information described above to:
- authenticate your account and limit beta access;
- calculate, rank, explain, save, and share camping opportunities;
- compare approximate starting places and drive limits to identify fair campground options for a crew;
- coordinate trip proposals and accountless, token-scoped guest responses;
- deliver reminders and other notifications you permit;
- maintain security, prevent misuse, diagnose errors, and improve beta reliability;
- answer support, privacy, and account-control requests; and
- comply with applicable legal obligations.
We do not sell personal information or use calendar event content for advertising.
5. Services and outside sites
The beta uses service providers to perform specific jobs. These may include Clerk for authentication; Convex for application data and server functions; Expo for app delivery, updates, and notifications; PostHog for product analytics; and Sentry for error diagnostics.
Weather information may come from Open-Meteo. Campground information may come from curated official or public campground sources. Mapping, routing, and connected calendar features may involve platform or provider services from Apple or Google. Approximate starting coordinates may be sent to Google to calculate a drive-time matrix; if that route service is unavailable, the app may calculate a local straight-line estimate instead. Those providers handle information under their own terms and privacy policies.
When you choose “Check reservation,” the app opens an outside reservation provider. That provider controls its site, availability, account, payment, and reservation data. Its privacy policy and terms apply there.
We may also disclose information if reasonably necessary to comply with law, protect people or the service, investigate misuse, or complete a business transaction subject to appropriate safeguards.
6. Retention and your controls
The private beta does not yet have a published fixed retention schedule. Information may remain in active systems, logs, and provider backups while needed to operate and secure the beta, address support or legal matters, or satisfy provider backup cycles.
You can edit planning preferences and manual availability in the app. You can disconnect supported calendar connections and revoke device permissions through the app, calendar provider, or operating-system settings, depending on the connection. Crew owners and organizers can edit or remove the friend-location estimates they entered for planning.
To request a copy, correction, or deletion of your account information, email support@clubwestcreative.com. The beta may not yet expose every account control inside the app, so email is the authoritative request path. We may need to verify that the request comes from the account owner.
Deletion requests do not require us to remove information we must keep for security, fraud prevention, dispute resolution, or legal compliance. Information already shared with an outside reservation or calendar provider remains subject to that provider’s controls.
7. Security and policy changes
We use practical technical and organizational safeguards appropriate for a limited beta. No storage or transmission method can be guaranteed completely secure.
We may revise this policy as the beta changes. The effective date at the top will be updated when changes are published. If a change materially alters how the app handles personal information, we will provide additional notice where appropriate.
